Introducing the Online RIF!

Meet the newest member of our recruitment family.

Background and Benefits
During the past few years, recruitment volunteers and alumnae alike have requested an online system to help manage and enhance the recruitment recommendation process. The Fraternity listened, so national volunteers and Executive Headquarters staff members have worked diligently to develop this great resource. State recruitment information chairs (SRICs), area recruitment information chairs (ARICs), and recruitment advisors have tested the system, and now we are almost ready to GO!

The online recommendation system provides a recruitment information form (RIF) with the same content as the current paper form, but it contains added technology features to enhance and expedite the process. Benefits include increased security; a reduction in paper, copying, and mailing costs; an increase in the number of RIFs submitted by alumnae; and a decrease in the overall “travel time” for a RIF to go from an alumna, to the ARIC or SRIC for approval, and finally, to the collegiate chapter.

Submitting an Online RIF, Step-By-Step
How exactly do you submit an online RIF for a potential new member (PNM)? For ease of use, the new online process closely mirrors the paper form process:

1. First, go to the Chi Omega EveryDay website and log in!

If you DO NOT have an account, you can create one easily by entering a few pieces of information about yourself so that we may match your login to your membership record in the national database. Keep in mind that the information must exactly match what we have in the database. For example, if you recently got married and changed your last name, we may not have your updated name in our database yet so you would use your maiden name.

If you DO have an account but DO NOT remember your password, you can use the “I Forgot my Password” option to receive a new password.

If you DO have an account but DO NOT remember your username and password, no problem! Just call or email the Executive Headquarters. Identify yourself with your maiden name so your record in the database can be easily located.

2. Upon logging in, you’ll notice that the home page is customized just for you! Be sure to look to the left side of your screen and verify that your contact information is correct. To edit the information, click on “Edit Profile.”

3. Locate the box labeled “Recruitment Information” and then click on “Submit Online Recruitment Information Form.”

4. A new screen will open. On this screen, you will see a list of any previous RIFs that you have submitted online. You may view all of your previously submitted RIFs, but they will be locked for editing.

5. To create a new RIF, simply click on “Create New RIF” and begin completing each section.

6. Potential New Member Information. This section captures basic demographic information for the PNM. Required fields are noted by an asterisk.

The PNM’s five-digit ZIP code is very important. All of our ARICs have designated their “covered areas” by ZIP code, and this information is integrated into the online recommendation system.

Therefore, the PNM’s ZIP code is the key to routing the online RIF to the correct ARIC. (Please note: Both paper AND online RIFs first must be sent to the ARIC, and then they are sent to the collegiate chapter. If there is not an ARIC in the PNM’s hometown, the RIF is sent to the SRIC instead.)

Presently, our online RIF system is unable to upload pictures due to storage limitations. To compensate for this however, we have provided fields enabling you to add links to vari ous social media sites that may contain pictures of the PNM.

7. Parent Information. The fields within this section are not required, but they are very helpful to ARICs, SRICs, and collegiate chapters.

8. College/University Attending. This section captures the PNM’s college/university and also her class year (freshman, sophomore, junior, or senior).

The dropdown list contains all of the universities for which we have a current Chi Omega chapter.

Select the PNM’s college major if known. You may leave this field unselected or choose Undecided

9. Prior College/University. This section is relevant when the PNM is currently or was previously enrolled in a different college/university.

10. High School Education. This section captures the PNM’s high school information (name, location, and graduation year) as well as her GPA and test scores. The high school name is very important because some geographical areas have a specific ARIC for EACH high school

11. Chi Omega Relationships. This section enables you to note any Chi Omega relatives within the PNM’s family.

Click on “Search the Chi Omega Directory” and notice the helpful directions at the top of the screen. The best way to search for a member is to enter her initiated last name and given first name (for example, Susan rather than Sue).

Keep in mind that some members have not updated their Chi Omega Profile with new last names or current addresses, so you may need to do a search. Every column within the search results is sortable in order to make this task easy! For example, you can sort by chapter name, initiation year, etc. to “narrow down the field.”

Once you select the correct member from the search results and view their information, you will select the type of relationship this member has to the PNM. Click “Connect” to confirm the relationship.

You may include all Chi Omega relationships, and if you have any trouble finding members in order to complete this section, don’t hesitate to contact the Executive Headquarters.

12. Other Relatives or Friends with Sorority or Fraternity Affiliations. This section enables you to note any relatives (or friends) of the PNM with other sorority or fraternity affiliations. Click on “Add Relationships outside of Chi Omega” and complete the information. The options for “Fraternity/Sorority” include all known Greek organizations. Click “Connect” to confirm the relationship. You can add as many other relationships as known.

13. Other Information. This is the spot for you to include any other information not provided within the previous seven sections. Presently, our online RIF system is unable to upload resumes and other documents due to storage limitations, but you can copy and paste that information into this section so that it’s readily available.

14. Recommendation. This is the final step of the online recommendation process! This section contains three options to qualify your recommendation of the PNM.

15. If you need to obtain additional information once you’ve begun an online RIF, you may select “Save” at any time in the process. All of the information that you have entered will be retained so that you may complete the RIF at a later time.

16. If you decide that you do not want to complete the RIF, just select “Cancel.” No information will be saved.

17. Once everything is complete, and you are ready to submit the RIF, simply select “Submit Completed Form.” At this point, the system will check to make sure all required fields are completed. After this action, you will no longer be able to edit the RIF, and you will be returned to your sortable list of completed online RIFs.

18. The ARIC or SRIC will be notified immediately via email that you submitted a RIF for a PNM in her area. After the ARIC or SRIC electronically approves the RIF, the information is then available to the applicable collegiate chapter.

19. You will receive a “Thank You” email as confirmation that a completed online RIF was submitted, but you will not receive any further notification regarding the RIF process.
